AI for accountants and bookkeepers, connected to every client ledger
AI for bookkeeping only helps when it can read the books. Connect each client's Xero or QuickBooks file and add one URL to Claude or ChatGPT. Then ask across the ledger, payments, email and spreadsheets, with every ledger read-only by default.
The short answer
AI for bookkeepers and accountants means an assistant such as Claude or ChatGPT working on live client books. PopMCP hosts the MCP servers. Connect Xero, QuickBooks, Stripe, Gmail and Google Sheets once and add one URL to your AI client. Then ask questions that cross them. Each client ledger sits in its own workspace and starts read-only.

AI for bookkeepers: eight jobs that cross a client's tools
Each job joins a ledger or a payment account to a tool from another part of the stack. A single connector cannot do that. The tool names are the real ones your AI client calls.

Why hosted MCP for accounting suits a practice with many client files
A Xero connection is one organisation and a QuickBooks connection is one company. A workspace holds one of each, so every client file gets its own workspace. One sign-in from Claude or ChatGPT still reaches every file that teammate was given.
An owner or admin sets each teammate to No access, Read, or Read and write, per connection. Most of the team needs Read on their own client files and nothing else. Scoping teammates to client workspaces is on every paid plan.
A close tracker roll-up makes a call for every client file. No plan counts, bills or caps tool calls, so nobody rations questions at month end. The Usage view lists each request by teammate, client workspace and tool.
Ledger and payment credentials are stored in PopMCP, encrypted at rest with AES-256-GCM. Claude or ChatGPT holds a PopMCP sign-in and nothing else. That is the case for MCP for finance data: the assistant gets a controlled connection, not the keys.
AI for accounting firms: many client files, one sign-in
A firm does not keep one set of books. It keeps one per client, plus its own. AI for CPAs and bookkeepers has to respect that line, so each client file is its own workspace.
A partner can ask one question across every file they hold. A junior reaches only the clients they were given. Once two ledgers of the same kind exist, every tool call has to name the connection it reads.
- Onboarding a clientCreate a workspace named for the client and connect their ledger. Add their Stripe account or store only if the work needs it. Leave every connection read-only.
- Deciding who sees the clientLimit the workspace to the teammates on that client. Inside it, anyone you have not set gets Read, so set No access where it matters.
- Offboarding a clientDisconnect the client's connections. That takes effect on the next request. Then have your access removed on the provider's side too.
| Provider | One connection is | What it takes to connect |
|---|---|---|
| Xero | One organisation | An app you register with Xero. One sign-in lists your organisations, and you map each to a workspace. |
| QuickBooks | One company | An app you register with Intuit, authorized once per company. Production keys need Intuit's review. |
| FreshBooks | One business | An app you register with FreshBooks, authorized once per business. |
| Stripe | One Stripe account | A secret API key from that account. |
| Shopify | One store | An app created in the Shopify Dev Dashboard and approved on that store. |
| Amazon Selling Partner | One seller account | The seller's own SP-API app. It needs a Professional selling account. |
Agentic AI for accounting: agents draft, people post
Agentic AI for accounting means the assistant takes several steps by itself. It reads the ledger, checks a second system and prepares a result. Our view is that it should stop there: agents draft, people post.
PopMCP has no approval step: a write you have allowed runs the moment the AI calls it. So keep client ledgers read-only. Let the journal, schedule or email land as a draft for a person to review.
| Job | The agent drafts | A person posts |
|---|---|---|
| Marketplace fees | A journal by fee type, mapped to the client's account codes. | The journal, in the ledger. |
| Deferred revenue | A month-by-month schedule in a new sheet. | Each month's release journal. |
| Missing receipts | One chase email, saved as a Gmail draft. | Nothing. They read the draft and send it. |
Set it up in four steps, in Claude or ChatGPT
Nothing to deploy, and nothing to install on the provider side.
- Connect your accountsConnect your practice tools and each client's Xero or QuickBooks file in PopMCP. Each one takes the credential its own API asks for, and a new connection starts read-only.
- Add one URL to Claude or ChatGPTAdd
https://app.popmcp.com/mcpas a custom connector in Claude or as a developer-mode app in ChatGPT. Other clients take the same URL. - Sign in with OAuthThe client opens PopMCP's sign-in. There is no API key to paste, and your credentials never reach the client.
- Tick what that client may useOn the consent screen, tick only the connectors that client should reach. Then ask it to run
list_connectionsand start with a question that only reads.
What it costs a bookkeeper with eight client files
A bookkeeper and one junior keep eight client ledgers, each in its own workspace. Three clients add Stripe and two add Shopify. A ninth workspace for the practice holds FreshBooks, Gmail, Google Sheets and DocuSign.
Studio$89 / month
- Workspaces
- 9 of 10
- Connections
- 17 of 60
- Team members
- 2 of 8
- Tool calls
- Not metered
$74.17 a month billed annually. Plan limits as published on .
Workspaces are what a practice runs out of first. Eight client files need eight workspaces and at least eight ledger connections. A ninth client still fits Studio, and two client files plus a practice workspace fit Starter at $39. Extra connections are $4 a month and extra workspaces $12. See every plan.
Which writes to allow, and which to keep off
A new connection starts read-only, and for a client ledger that is the right place to leave it. An owner or admin turns on Allow write actions per connection. They then set each teammate to No access, Read, or Read and write. An allowed write posts the moment the AI calls it, with no approval step.
| Connection | Keep read-only | Turn writes on for |
|---|---|---|
| The whole ledger, by default. A created invoice, bill or bank transaction posts at once. | One named senior, on a file where they already post by hand. | |
| The same rule. Read the reports, and let a person enter what the AI drafted. | One named senior per company file, if anyone. | |
| Refunds, payouts and invoices. It is the client's money, not the practice's. | Nobody at the practice. The client issues their own refunds. | |
| Nothing for reads. Sending is a write, and a sent email cannot be recalled. | Whoever chases clients, for drafts. Ask for a draft and send it yourself. | |
| A client's own sheets that you only read from. | The whole team, for trackers and schedules. This is where drafts should land. | |
| Sending. An envelope reaches a client under the firm's name. | The practice manager, for engagement letters sent from a template. |
What PopMCP does not do
- It is not a workflow builder
- PopMCP does not run anything on a schedule or react to a new bank line. A person asks the question in their AI client. For "when a bill arrives, do this", keep your automation tool.
- It is not bookkeeping software or an agent framework
- There is no SDK and no agent runtime. PopMCP does not categorise transactions, reconcile accounts, prepare returns or give tax advice. It gives the AI client your team already uses a controlled way to reach the books.
- It does not cover every accounting tool
- The catalog is 100+ business tools, not thousands. MYOB and Sage are not in it today. Neither are Dext or Gusto. Request an integration.
Questions from accountants and bookkeepers
Checked against the product on .
Can Claude do accounting work?
Claude can read a ledger, run its reports and draft working papers once it is connected. Add https://app.popmcp.com/mcp as a custom connector in Claude under Customize, then Connectors. Using Claude AI for accounting still needs a qualified person to review and post. PopMCP does not give tax advice.
How do I use AI for bookkeeping?
Start with reading, not posting. Connect one client ledger in PopMCP and add the URL to Claude or ChatGPT. Then ask for something you would otherwise export, such as last month's bills with no attachment. Have the AI draft into a sheet or an email, and post the entry yourself.
Does each client's Xero or QuickBooks file need its own connection?
Yes. One connection is one Xero organisation or one QuickBooks company, and a workspace holds one connection per provider. So each client ledger gets its own workspace. One sign-in from Claude or ChatGPT can still reach several client workspaces in one chat. It is limited to what that teammate was given.
Is connecting Xero or QuickBooks a one-click sign-in?
Not today. Both currently use an app you register with the provider, and QuickBooks production keys need Intuit's review first. With Xero, one sign-in lists the organisations you can reach and you map each to a workspace. With QuickBooks, you authorize once per company.
Can the AI post to a client's ledger?
Only if you allow it. A ledger connection is read-only until an owner or admin turns on Allow write actions for it. After that, an invoice, bill or bank transaction posts the moment the AI calls it. There is no approval step, so we suggest leaving ledgers read-only. The audit log lists each write an AI client attempted.
What is the best AI for accountants?
The one that can read the client's actual books. An assistant with no ledger access answers from general knowledge. Claude and ChatGPT both work once they are connected. So the best AI for bookkeeping is usually the one your team already uses.
What does it cost an accounting practice?
Plans are sized by workspaces, connections and teammates, and each client ledger needs a workspace. Starter is $39 a month with three workspaces. Studio is $89 with ten, and an extra workspace is $12 a month. Every new account starts with 14 days on Studio and needs no card. Tool calls are not metered on any plan.
